The problem isn’t the time zones…it’s the lack of a Single Source of Truth. When a team is distributed throughout the globe, you can’t rely on synced meetings. You must rely on a crystal-clear written process.

My playbook:

  1. The Asynchronous Stand-Up: We kill the 9 AM (EST) stand-up that’s 2 AM for someone else. Instead, we move to a daily 3-point update. Everyone answers the following questions so you can get a single report of global progress every morning.
    1. What’s Done?
    2. What’s Next?
    3. What’s Blocked?
  2. The “Golden Spec”: The “Definition of Done” isn’t a conversation…it’s a locked and non-negotiable document. The team in Europe doesn’t have to ask the team in the US what “done” means at midnight. They read it.
  3. The Formal Handoff: We don’t just pass the baton. The Europe team’s “done” work is live and tested before the US team even wakes up. This makes sure there is no ambiguity or excuses.

Stop letting time zones be an excuse for delays. Start using them as a 24-hour execution advantage. Clarity isn’t just about what you say in a meeting. It’s about what you write down so your team can win while you sleep.
